We are excited that you have chosen Pediatric Associates for your child's medical care. Taking excellent care of your child is our priority, and we strive to make every visit to our office a positive experience. To help you get acquainted with our office procedures, please read through the information on this page.  Pediatric Associates is currently accepting newborns and children who are new to the Greater Cincinnati/Northern Kentucky area as new patients. We accept most health insurance plans. Please call us if you have questions about our new patient policy or specific circumstances you would like to discuss with us.

New Patient Checklist


It is crucial when choosing a pediatric practice for your children that you have given serious consideration to the fit between the practice philosophies and your own. Excellent care happens when the physicians and office staff are aligned with your family priorities and philosophies regarding medical care. Only then can shared decision-making be based on mutual respect.

Please read the following checklist carefully to be sure

  • Expectant Parents

    Here is our New Baby Booklet with some great information in it. Please contact us at 859-341-5400 if you have any questions.

  • Before Your First Visit

    The first time you visit our office, there is a lot of information to gather, including records from your past doctors, immunization records, contact information, insurance information and past medical history. In addition, we need to give you information about our privacy practices and financial policies, and have you sign to confirm that you have received it.


    To help things go more quickly at that first visit, you can review them on your computer, print them and send them to us or bring them with you:  New Patient Packet (please be sure to sign the last page).  Also we ask that your register on our Patient Portal so that we have the most accurate demographic and insurance information.

  • Office Hours

    We make every effort to meet the needs of our patients, offering both routine well visits and sick visit appointments. We are open Monday through Friday 8:00 AM to 4:50 PM at all locations and 8 AM to noon on Saturdays at the Crestview Hills office.  We do offer appointments at 5 pm if you are unable to be seen during the day. There is an additional charge for keeping the office open after hours. This charge is billed to insurance if you have provided us with this information. There may be a portion of this charge that is passed on to you.


    Walk-in patients may be assessed a walk in fee, and will be fit into the existing schedule if possible, or they will be asked to return later when the schedule allows.


    To ensure we provided you with the most efficient care we highly recommend you call ahead to schedule an appointment.


    Please familiarize yourself with our office hours to see if they work for your family. 

  • After Hours

    We have a provider on call 24/7/365. When our office is closed overnight and you have an urgent issue that cannot wait until morning, you can call our main number and the provider on-call will give you advice regarding your child's problem. The direct line to the after hours Answering service is 513-820-2312.

  • Scheduling Appointments

    For acute care, call the office to speak with triage staff, who will listen to your concerns and schedule an appointment for you. Sometimes an appointment may not be needed, and staff will advise you regarding your issue, or check with the physician and call you back.


    If our nurse is on with another caller, you will be asked to leave a message and you will receive a return call.


    For well visits, call our routine appointment line. Well visits may be scheduled up to 3 months in advance. You will receive an automated reminder 3 months ahead of when your child is due for their next well visit. (Automated reminders are also sent for any vaccines for which your child is due.)

  • Missed Appointments

    Our practice makes every effort to run on time with appointments, as we believe everyone’s time is equally valuable.


    As a courtesy, we will remind you of your upcoming appointments via phone/text message/email.


    We ask that you arrive 5 minutes before your scheduled appointment time.  We understand sometimes things happen beyond your control that may cause you to be late. However, we reserve the right to ask you to reschedule if you arrive late for your appointment. Missed Appointments: Broken appointments represent a cost to us, to you, and to other patients who could have been seen in the time set aside for you. We reserve the right to charge a fee for canceled or missed appointments. We request 24 hours notice for cancellation of appointments.


    A fee may be charged for a second missed appointment. The third consecutive missed appointment may result in discharge from the practice.


    For new patients, a fee may be charged if the FIRST appointment is missed.

  • Insurance

    Make sure we participate with your insurance plan. Click here for more information regarding insurance.


    It is your responsibility to know the limits and coverage of your particular health insurance policy, to show your cards to us at each visit, and be prepared to pay any copays at the time of service.


    Our billing staff will do their best to assist you with insurance questions; however, If you have questions about your coverage, it is best check with your specific insurance company.


    Our office does not want you to be surprised by a bill, but must always bill your health plan based on federal guidelines and the actual services provided.

  • Billing

    Insurance copays are expected to be paid at the time of service. If you are unable to comply, you must speak with the billing department prior to the visit to set up a payment plan.

  • Antibiotics

    There are growing concerns about antibiotic overuse and a resultant increase in drug-resistant germs.  In general we do not call in antibiotics without seeing your child in the office.  We follow relevant guidelines from the AAP and CDC in deciding when and how to prescribe antibiotics.  Color of mucous or severity of symptoms such as cough does not always indicate a need for antibiotics.  

  • Vaccines

    We strongly believe in the value of immunizations.  When we immunize children on time and completely, we are protecting not only the child but everyone else (family members, teachers, our staff, the public at large).  This concept is known as herd immunity and it is especially important for those special circumstances that a person cannot be immunized due to certain diseases such as immune deficiencies or cancer treatment or organ transplants.


    We follow all local and national guidelines from the Centers for Disease Control (CDC), the state of Kentucky, and the American Academy of Pediatrics (AAP).  We require our patients to get all the state required vaccines. We do not give any religious exemptions.  If you are opposed to vaccination we are not the right practice for you. 

  • Technology

    Our practice prides itself on efficiency through use of technology. You will be encouraged to consult our website, register for and use our patient portal, and effectively use automated reminders for appointments and for routine care/immunizations that are due.

  • Patient Portal

    We are excited to bring you lots of resources at your fingertips.  Please sign up for our Patient Portal to review your child's growth, medications, drug allergies, pay your bills, request well visits and schedule your own flu shot appointments. You can also request prescription refills from the portal.  We ask that you give us 48 hours notice for all refills. We will also send educational handouts and other forms to you via the portal.
